Associate Officer

About this role

We need an Associate Officer to keep the administrative side of the plant running — documentation, records, compliance paperwork and vendor coordination. The role sits between Production, HR, Accounts and HSE, so a good part of the job is making sure information and paperwork move cleanly between them. Familiarity with factory compliance requirements will help you settle in quickly.

Responsibilities

  • Office Management: Maintain office supplies, stationery, furniture, utilities and general cleanliness
  • Documentation: Draft letters, memos, notices, meeting minutes and official correspondence
  • Record Keeping: Maintain employee files, attendance, leave records, visitor logs and company policies
  • Coordination: Act as liaison between Production, HR, Accounts, HSE and Management
  • Compliance & Legal: Help maintain licences — PESO, Fire NOC, Factory Licence, Environmental NOC and Hazardous Waste authorisation
  • Safety Coordination: Work with the HSE department on safety drills, PPE records, MSDS filing and incident reports
  • Vendor Management: Coordinate with suppliers for chemicals, packing material, lab equipment and office items, and maintain the vendor database
  • Inventory Control: Track office inventory and non-technical store items such as PPE, cleaning chemicals and safety equipment
  • Purchase Orders: Raise POs for admin items, collect quotations and compare rates
  • Bill Processing: Collect and verify vendor bills and forward them to Accounts for payment
  • Petty Cash: Maintain the petty cash book and vouchers
  • Asset Register: Maintain the record of company assets including ACs, computers and vehicles

Requirements

  • Intermediate or Graduation
  • 2 to 3 years of administrative experience, preferably in a manufacturing setup
  • Basic understanding of labour laws, the Factory Act and chemical safety compliance
  • Working knowledge of MS Office and ERP systems
  • Strong documentation, communication and problem-solving skills
  • Disciplined, able to handle confidential information, and good at coordinating across departments
